From conception right through to meticulously planning every detail, we hope to partner the department / faculty Administration Teams all the way through The University decides where it wants to go, and charts out all required Local Programmes, Proposed Activities & Itinerary etc … We are available at all times to help and advise at this stage if required, where we can Having given us a final plan of action, and list of all who intend to go on the trip, we at KI start on the commission.
Initially, we try to assess any Visa requirements for all the individuals intending to go, there may be different requirements for British Nationals & any Foreign Students We report back to Administration with any relevant information from the High Commissions or Embassies of the countries intended for visit. If there are any Visa formalities to be met, KI will produce all relevant forms for completion, a detailed chart of Visa Fees & our Charges for obtaining Visas for all intended candidates [KI can give no guarantees of this process, as each sovereign state is free to make their own decision, although every care will be taken to ensure the most sensible approach for success] We would then arrange for submission of forms, passports and fees for Visas as required, duly collecting/receiving them & returning them on completion
At the same time, KI would provide the best available quotes on Return Flights to destination as we work with all the major scheduled airlines throughout the world.
Working with the Administration teams in each department at all times, we would work through all logistics, accommodation, and catering plans for the duration of the tour We would hopefully therefore meet and address any possible issues at this stage, leaving the department free to fulfil the academic targets of the trip on arrival
We provide all Transfers (you would be received & picked up at the Airport, and taken to your Hotel & checked-in / On return you would be guided thorough checking-out smoothly & taken back to the airport for your return journey to the UK)
We book Hotels – we work with a range of well known Hotel Chains 3* and above, and are generally able to provide a choice of Services / Conference Facilities at the hotels, with a wide range of budgets catered for
We arrange all Local Transport requirements – we have good relationships & contracts with many established, reliable local transport companies in all the countries mentioned above, and so are able to provide any range of vehicles from Luxury Coaches to Cars to meet any transport demands that the Field Trip may require We often take such groups to famous local institutions, study sites and other places of interest ~ these requirements are generally planned and organised beforehand
Catering – All the Hotels we work with provide a minimum of Room & Breakfast as part of the basic reservation, some may also have a provision for an evening meal as part of the package too, any further Meal, Conference / Take Away (like sandwich packed lunches for day trips away etc …) requirements that are planned for would be discussed and arranged before-hand here in the UK before the tour leaves

Set field trip plans and objectives with clear curriculum goals as standard. Do they meet subject ambitions, and enhance classroom or lecture comprehension? - Find out when your intended place of visit & study is open and available.
- If you are intending to visit other educational / government or NGO projects, are they accessible and is prior permission required and granted for all planned activity in those places ~ communication is essential
- Sketch out a possible itinerary, enhance prior understanding and clarify expectations as reasonably as possible, so that the most can be made of every experience while there
- Obtain approval from administration and finance before announcing field trip to students. Make sure of student & teacher numbers and keep to required ratios etc …
- Make sure you work with experts and professionals in the field like us at Kerala International to help plan, book flights, understand any visa requirements, schedule local stay, transportation and everything else that may need to be pre-arranged for the tour. Be aware and take care of liability issues
- Are there any lecture / conference requirements while you are there?
- Stay in contact with your colleagues and students involved at this end, & your main contact and counterpart at your trip destination, making sure all plans are on track
- Outline objectives and rules before the field trip, and maybe instruct students about what is expected of them, especially if local sensibilities have to be adhered to where you intend to visit
- Plan for any necessary supplies ahead of time; make sure all required permission, fees and formalities are handled in advance so there are no last minute delays
